Overland Campers Booking Terms & Conditions

Insurance

Drivers must be aged between 22-70 and have had a valid UK, EU (including Norway and Switzerland), Australian, New Zealand, USA or Canadian driving licence for a minimum of 3 years. Other licences by prior agreement. Please ensure your licence is in order (current name, address and not due to expire) prior to making a booking.

Licence (including paper counterpart if applicable) must be provided on the day of hire along with 2 official documents detailing current address (which must match driving licence) dated within 3 months of hire from the list below: 1 utility bill + 1 of the following :
a) Council Tax bill/statement
b) TV / internet/ landline telephone bill (including Sky/Virgin/BT etc)
c) Bank Statement
d) Credit Card Statement
We appreciate many bills are paperless, if so you must contact your bank/utility company etc and request a posted letter.

We will also require a DVLA check code for all UK drivers available from www.gov.uk/view-driving-licence dated within 21 days of hire. Additional drivers must also provide their driving licence and documents as above.

Drivers must not have been convicted of any motoring offence or have a prosecution pending other than parking or one speeding offence. Drivers must not have more than 6 points for minor offences.
Drivers must not have had more than one motoring accident or claim in the last 3 years fault / non-fault.
Drivers must not have had insurance refused, declined or cancelled.

Additional Terms from Insurers:
Your Policy does not apply unless each hirer and authorised driver meets the following requirements (unless otherwise agreed by Us and You)
A is 21 years of age or over but under 70 years of age.
B has held a full UK driving licence for at least one year if 25 years of age or over or two years if between 21 and 24 years of age and has produced the licence for inspection by You.
C is not engaged in professional gambling, sport or entertainment, hawking or general dealing, street or market trading, or modelling.
D has not been involved in more than one motoring accident or claim within the preceding three years.
E has not been convicted of any motoring offence or has a prosecution pending other than parking or one speeding offence.
F has referred any medical condition requiring Driver and Vehicle Licensing Agency (DVLA) notification and authorisation has been granted by the DVLA.
G has not been refused motor insurance at normal rates and terms or has not been declined insurance or had any insurance policy cancelled by an Insurer.
EXCLUDES DRIVERS UNDER 21 YEARS OF AGE
Notwithstanding anything contained herein to the contrary it is hereby understood and agreed the Insurers shall not provide cover if an insured vehicle is being driven by or for this purpose is in the charge of any person under 21 years of age. Subject otherwise to the terms, exceptions and conditions of this insurance.
EXCLUDES DRIVERS OVER 79 YEARS OF AGE
Notwithstanding anything contained herein to the contrary it is hereby understood and agreed the Insurers shall not provide cover if an insured vehicle is being driven by or for this purpose is in the charge of any person over 79 years of age. Subject otherwise to the terms, exceptions and conditions of this insurance.
EXCLUDES DRIVERS WITH LESS THAN 24 MONTHS FULL UK OR EU LICENCE EXPERIENCE
Notwithstanding anything contained herein to the contrary it is hereby understood and agreed the Insurers shall not provide cover if an insured vehicle is being driven by or for this purpose is in the charge of any person with less than 24 months driving experience since obtaining a permanent licence in the United Kingdom or EU to drive a vehicle of the same class as the Insured vehicles.
Subject otherwise to the terms, exceptions and conditions of this insurance. EXCLUDING CASH HIRERS
Notwithstanding anything contained herein to the contrary it is hereby understood and agreed that no liability shall attach to underwriters in the event of any hiring or letting on hire, of any motor vehicle, where such hire is paid for in cash (in part or full). It is further warranted that all hires must be paid by credit/debit card.
Subject otherwise to the terms, exceptions and conditions of this insurance. EXCLUDING OFF HIRE COVER OTHER THAN FOR NAMED DRIVERS
Notwithstanding anything contained herein to the contrary it is hereby understood and agreed the Insurers shall not be liable in respect of any claim made under this insurance in respect of damage arising to or from the use of any vehicle which is the subject of the indemnity provided by this insurance unless at the time such damage or loss arises the insured vehicle has been let out under a signed and binding contract to any Hirer who fulfils the requirements of the attaching endorsements to this insurance unless otherwise named to and approved by Insurers.

Full Policy Schedule provided at time of hire or upon request.

Insurance Excess

The hirer is responsible for a standard excess of £1000 (Lance/Fergal/Stirling) or £2250 (Amber) in case of accidental damage, fire, theft or third party damage. (Excludes excess payable in the event of a Fire claim). Additional £100 excess for non-UK drivers applies. Additional excess of £400 applies for drivers for drivers aged under 25 years.

Additional Costs

Additional costs will apply under the following circumstances.: additional drivers, non-UK licences, non-UK travel, pet(s) and rental of additional equipment.

Liability

Overland Campers reserve the right to substitute an alternative Land Rover campervan to the original one booked should this one become unavailable for reasons beyond our control.

Booking Form

No alterations are to be made to the printed copy of the booking form. Please complete only the required fields. Any alterations made to the text without written prior agreement will invalidate your booking and lead to the loss of any deposit paid.

Bond (Security Deposit)

Security Deposit of £750 (Fergal/Lance/Stirling) or £1000 (Amber) will be taken prior to hire by card payment in the main driver’s name and is due no later than fourteen days from the start of hire. This will be refunded on return of the hired van in the same condition that it was collected and on the basis that the terms of the rental are met.

These terms are:
• the van is returned with the same amount of fuel that was in it when it was collected
• the van is returned with an empty, clean toilet. Failure to do so will result in a deduction of £50.00 from your security deposit. Instructions are provided on how to empty/clean the toilet.
• the van must be returned within the stated time. Please note that the van is not insured outside the agreed times of the contract of hire period.

In the event of damage to the vehicle where the cost of repair exceeds the security deposit, immediate further payment will be required limited to the value of the insurance excess.

Please note that a double bond will be required for hire for festivals. All of our vehicles are tracked – should you attend any festival without prior permission you will forfeit a minimum of £250 of your bond.

Late Return

If a vehicle is returned to our premises later than the specified time, without our prior written agreement, you must pay £25 per hour or part thereof. You could be affecting the holiday of the next person to hire the vehicle. Should the late return of the vehicle make us liable for costs greater than the total payable at this hourly rate, the excess is a debt due to us from you. Charges and costs for late return will be deducted from, but not limited to, your Security Deposit. By signing this Agreement you accept our right to make such deductions. No refund is given for early return of the Vehicle. Please note that the vehicle is not insured outside of the hire period. If we have to extend your insurance policy as a result of late return then a deduction will be made from your security deposit to cover any costs incurred.

Payment and Cancellation

A non-refundable booking deposit is required at the time of booking or 20% of booking cost for durations of 10 days or more. The balance is due no later than 6 weeks prior to rental start date by card payment in the main driver’s name, or the full amount if within 6 weeks. Should the balance payment not be received within 6 weeks then your booking will be cancelled. Please make sure you have appropriate holiday insurance to cover any eventualities. There will be no refund in the event of early return e.g. illness, accident, theft. (Excluding breakdown that is not the fault of the hirer, see below). No refund will be given should your booking have to be cancelled due to non-presentation of required documents as specified in these terms (Driving Licence, DVLA Code and Proof of Address as detailed).

Breakdown

In the unlikely event of mechanical failure/breakdown prior to departure, every effort will be made to provide a similar campervan. Where the van cannot be repaired for use, a full refund of hire costs will be made. Should breakdown occur after departure then a full or partial refund will be given dependant on time left in the hire period, and hirers will be collected and returned to home should a similar van not be available. We cannot accept responsibility for missed functions due to breakdown. Overland Campers cannot be held responsible for adverse weather conditions affecting any hire.

Fines

Drivers are responsible for any legal penalties e.g. parking fines, speeding tickets, toll charges incurred during the hire period.

Rental restrictions

No smoking or candles inside the van.
Pets by prior agreement only, charged at £30 per rental period unless otherwise agreed at the time of booking. Please note that dog beds are not provided and as such you will need to bring one with you for your furry friend.

Seat Belts/Car Seats

You are legally responsible for obtaining and using a child or baby seat. Please note we do not supply car seats. You must carry only as many passengers as there are seat belts in the van. The number of passengers is limited to the seatbelt capacity of the van as stated: Fergal (3), Amber (5), Lance (5), Stirling (4). The number seated may differ to the number the camper can sleep, please check for details.

Fuel

Diesel fuel only.

Using the Camper Van

The hirer:

  • must not leave keys in the ignition or in view when not attended to prevent theft.
  • must ensure the van is locked and secured by Clutch Claw/Steering Lock whenever it is left unattended.
  • will be responsible for loss of keys. 
  • will be responsible for using the correct fuel (diesel) & will incur any costs to rectify if wrong fuel is used.
  • is liable for replacing any tyres that are punctured or damaged during the hire period. –
  • is responsible for not driving under the influence of alcohol and or drugs according to the law. –
  • must not submerge the van in water. –
  • must use care and caution when driving as per the current Road Traffic legislation.

Theft of the van or equipment must be reported to the police and Overland Campers immediately. The van shall not be taken outside of the United Kingdom unless by prior written agreement.

Mileage

The mileage limit is 150 miles per day. Extra mileage is chargeable at £0.50 per mile.

Maintenance

Hirer must stop and react to any dash warning lights.

Parking

You are able to leave your own vehicle in our yard free of charge for the duration of your hire however we must state that this is done so at owner’s risk.
